School Event Rentals for North Texas Schools
Fun Times Party Rental helps North Texas schools, ISDs, PTA and PTO groups, administrators, teachers, and parent volunteers plan school events with rentals that fit the students, campus space, schedule, and event flow.
We have supported school events ranging from small celebrations with about 35 students to large campus events serving roughly 2,000 students. Field days, carnivals, fall festivals, reward days, family nights, pep rallies, fundraisers, senior events, and end-of-year celebrations all create different planning needs.
Instead of choosing an inflatable first, start with the kind of school event you are planning, the ages you need to serve, how many students will participate at one time, and the space available on campus. From there, we can help narrow the rentals that make the most sense.
School Event Experience You Can Plan Around
School events often involve more moving pieces than a backyard party. Fun Times Party Rental brings real North Texas school-event experience to the planning process, from campus access and power to student flow and supervision.
School Events We Help Plan
The right rental mix changes with the event. A structured field day needs different flow than a family carnival, while a student reward event may focus more on a concentrated block of high-energy activities.
A traditional field day is usually built around rotations, activity capacity, and keeping groups moving through a schedule. If that is what your campus is organizing, our school field day rental planning page goes deeper into those specific decisions.
School carnivals and seasonal school festivals tend to work differently because students and families move more freely between games, attractions, and concessions. Our school carnival and festival rental planning page is the better next step when variety and open event flow are the priority.
If a PTA or PTO is organizing the event, our PTA and PTO school event planning page focuses on the organizer side of the process, including volunteers, fundraising, school approval, purchasing, and family participation.
Rentals That Work Well for School Events
The best school rental is not automatically the biggest inflatable. Student ages, available space, event length, number of participants, and how quickly an attraction moves students through all matter. These categories give schools a practical place to start.
Need a broader carnival-style setup rather than a school-specific plan? Our carnival event rental planning page covers larger community-style events where games, concessions, inflatables, and crowd flow all work together.
Match Activities to the Students You're Serving
One reason school event planning is different from a typical party is the range of students involved. We regularly set up for elementary, intermediate, junior high, high school, and collegiate environments, so activity style should be matched to the audience rather than treated as one-size-fits-all.
Student-Only Events
When students participate by grade or scheduled group, the strongest setup often focuses on activity capacity, repeat play, and how quickly each group can rotate to the next station.
Family & Community Events
Family nights, carnivals, and festivals may include younger siblings, older students, parents, and volunteers at the same time. Those events usually benefit from more variety and multiple activity zones.
Planning for 35 Students Is Different From Planning for 2,000
Headcount matters, but it does not tell the whole story. A 500-student school rotating classes through activity stations over several hours can need a very different rental mix than a 500-person family carnival where everyone arrives during the same two-hour window.
We look at how the event actually works: how many students participate at once, how long the event lasts, whether groups rotate, how many lanes or active-player positions each attraction offers, and how much campus space is available.
- Student count and age range
- Students participating at one time
- Rotation schedule or open-flow event
- Event duration
- Attraction throughput and number of players
- Available setup footprint
Real events, very different plans. We have served school groups across this range, which is why we recommend planning around event flow instead of using a simple “students per inflatable” formula.
If you want a deeper look at rotation planning and field-day activity choices, our article on planning a school field day with inflatables provides additional ideas before you finalize the rental mix.
Planning a PTA or PTO School Event?
Many of our school events are organized through PTA or PTO groups, but we also work directly with schools, ISDs, administrators, staff members, and parent volunteers. The organizer may change, but the planning question is still the same: what kind of event are you creating? If a parent organization is leading the event, our PTA & PTO School Event Rentals page goes deeper into fundraising, volunteers, approvals, purchasing, and family participation.
Carnivals, Festivals & Family Nights
These events often need enough variety for families to move around campus without every guest lining up at one attraction. Games, inflatables, concessions, and different activity zones can help spread the crowd.
Fundraisers & Organization Events
If raising money is a primary goal, the event may need to be planned differently from a simple student celebration. Our fundraiser event rental planning page covers additional considerations for organization-led events designed to encourage participation.
Indoor or Outdoor School Event?
School campuses give event planners more setup possibilities than many other venues, but the exact surface and access route matter. Tell us where the equipment will go before the event so we can plan the setup correctly.
Common Approved Surfaces
- Grass
- Concrete / asphalt
- Artificial turf
- Indoor gyms when dimensions and access work
Surfaces We Do Not Use
- Rock-covered setup areas
- Dirt-only setup areas
If you are unsure about a campus location, send us the proposed setup area before the event so we can help evaluate it.
Power, Access & Supervision Matter Before Event Day
Separate Outlet + Separate Breaker
Each inflatable motor or blower needs its own electrical outlet on its own separate breaker. When adequate building power is not available, generators can be added to the rental plan.
Plan the Route to the Setup Area
Gates, doorways, gym access, field access, parking, and the distance from unloading to the final setup location can all affect delivery and setup.
School Staff or FTPR Attendants
Schools generally supervise the equipment. FTPR attendants are available for $45 per hour per attendant, with staffing based on the manufacturer's attendant guidelines.
Fun Times Party Rental handles delivery, setup, and pickup. Schools can also request common vendor documentation including a W-9, Certificate of Insurance, additional-insured documentation when required, and school or district vendor forms.
School Purchasing & Vendor Documentation
School and district purchasing processes can require more documentation than a typical private event. We regularly work with school purchasing needs and can help provide the paperwork needed to move the rental through approval.
School Purchase Orders
We accept school purchase orders and can work with school purchasing processes when a PO is required.
Tax-Exempt School Purchases
We can accommodate qualifying tax-exempt school purchases when the appropriate documentation is provided.
W-9, COI & Vendor Forms
W-9s, Certificates of Insurance, additional-insured requests, and school or district vendor paperwork can be provided as needed.
When Should a School Reserve Event Rentals?
Spring Field Days Fill Extremely Fast
Schools planning spring Field Days should begin the process soon after winter break when possible. Friday dates are especially competitive, and waiting until spring can sharply reduce availability.
Fall Usually Offers More Flexibility
Fall carnivals, festivals, and school celebrations are often easier to schedule than spring Field Days. Schools that can consider days other than Friday generally have more options.
Schools & Organizations We've Served
Our school-event experience includes work with districts, individual campuses, parent organizations, and higher-education clients across North Texas. The logos below represent organizations Fun Times Party Rental has served; they are shown as customer experience, not as an endorsement.

Additional school and organization logos can be rotated across the School Events child pages so each page keeps three consistent trust anchors while showing different relevant organizations.

Frequently Asked Questions About School Event Rentals
What types of school events does Fun Times Party Rental serve?
We help with Field Days, school carnivals, fall festivals, fun days, reward events, end-of-year celebrations, family nights, PTA and PTO events, fundraisers, pep rallies, graduation and senior events, and other campus celebrations. We regularly work with elementary, intermediate, junior high, high school, and collegiate environments.
How many rentals do we need for our school event?
There is not one correct number based only on student count. We also look at event duration, how many students participate at the same time, whether groups rotate, attraction throughput, age ranges, and available setup space. We have supported events ranging from roughly 35 students to about 2,000, and those events require very different plans.
How early should we reserve rentals for a school Field Day?
Spring Field Day dates fill extremely quickly, especially Fridays. Schools should begin planning soon after winter break when possible. Fall events are generally easier to schedule, and schools with flexibility beyond Friday usually have more options.
What kind of electrical power do inflatables need at a school?
Each inflatable motor or blower needs its own electrical outlet on its own separate breaker. If the school cannot provide enough separate circuits near the setup area, generators can be added to the rental plan.
Can school inflatables be set up indoors?
Yes, many inflatables can be set up inside school gyms when the equipment dimensions, ceiling clearance, access route, power, anchoring requirements, and manufacturer guidelines all work for the space. We can also set up outdoors on grass, concrete or asphalt, and artificial turf when the site is appropriate. We do not set up on rock or dirt surfaces.
Does the school need to provide attendants?
Schools generally provide supervision for rented equipment. If your event needs additional staffing, Fun Times Party Rental attendants are available for $45 per hour per attendant, with the number of attendants based on the manufacturer's attendant guidelines for the equipment being used.
What happens if weather affects our school event?
Weather can affect outdoor inflatable setup and safe operation. Because the exact options depend on timing and conditions, review our weather and rental FAQs for the current policy and contact us as early as possible if weather may affect your event.
Can schools use purchase orders and request vendor paperwork?
Yes. We accept school purchase orders, can accommodate qualifying tax-exempt school purchases, and can provide common vendor documentation such as a W-9, Certificate of Insurance, additional-insured documentation when required, and school or district vendor forms.
Tell us the event type, student ages, expected attendance, date, and proposed setup area. We can help you narrow the rental mix before you spend time comparing equipment that may not fit your campus or event flow.
